Event Coordinator for Premier South Florida Fishing Tournaments

Position: Event Coordinator

Location: Deerfield Beach, FL

Job Type: Full-Time

Company Overview:

Bluewater Movements, Inc. is a sports marketing company based in South Florida.  We are deeply rooted in the marine industry with a 20-year history organizing some of the largest offshore fishing tournaments in the country.

Position Overview:

Experienced, take-charge professional with ability to manage administration and logistics in a busy special events environment.

Assist with coordination and operation of (7) fishing tournaments per year and attendance at approximately 5 industry trade shows per year.

Must be able to anticipate project needs, discern work priorities, meet deadlines with minimal supervision and be willing to work occasional evenings and weekends associated with scheduled events on calendar.  Travel required for 3 to 4 of the events each year, with extended stays ranging from 4 to 7 days depending on event.

The event coordinator must have a love for event management, provide outstanding customer service, be an enthusiastic professional and be able to build strong relationships with anglers, volunteers, media, sponsors and all other instrumental contacts to the business.  A background, passion and/or familiarity with the sportfishing industry is a benefit but not required.

Event Planning Overview:

  • Facilitate online registrations, task management, sponsor fulfillments and other event planning tasks via web based event management software.
  • Ensure that important pre-event documents such as applications, advertising insertions, contractual agreements, etc. are completed and submitted on time.
  • Deliver editorial content and advertising pages for event publications to graphic designer. Oversee proof process for publications.
  • Assist with updates to event website pages.
  •  Draft press releases, email blasts and social media posts for promotion of events.
  • Assist with BEO negotiations at host locations for events.
  • Work with vendors to source shirts, hats, bag samples and other promotional items for events.
  • Assist with design and layout of floor plans for events.
  • General reservations, ordering and scheduling of things like equipment rentals, signage, subcontractors, trophies, supplies, etc.
  • Serve as liaison with vendors and sponsors on event-related matters and fulfillment of sponsor benefits.
  • Assist with onsite setup for events (bag stuffing, banner displays, silent auction, decorations, etc.) and breakdown following conclusion of events.
  • Participate in all facets of event execution – kickoff parties & registrations, competition days, awards ceremonies, etc.
  • Liaison to media on competition days to ensure they have the results information they need for press deadlines.
  • Print collateral distribution to local marine retail stores.
  • Propose new ideas to improve the event planning and implementation process

Other Tasks and Requirements:

  • Day to day office administration responsibilities such as emails, answering phones, shipping, filing, running errands, scheduling meetings, etc.
  • Ensure that all deadlines are properly met for quarterly and annual tax forms for business.
  • In physically fit condition to handle some of the lifting, moving, etc. that may occur in association with set-up or breakdown from an event.
  • Must live in the immediate area or be willing to relocate


  • Bachelor’s degree and/or significant work experience in field are preferred.
  • 3 years experience in office administration preferred.
  • 1 year + experience in event management preferred.
  • Computer Platforms– must be Mac & Windows proficient.
  • Computer Skills - High proficiency using the latest versions of Microsoft Word, Excel, and PowerPoint; mail merges, email and web searches.  Internet savvy.  
  • Content Management System experience
  • Social Media experience with a strong working knowledge of Facebook, Instagram, Twitter and YouTube.
